The Role: A Strategic Pillar in Gujarat Operations
Based in Ahmedabad, Gujarat, the Admin & Finance Associate is crucial for the efficient functioning of the state program. This hands-on role requires a blend of organizational acumen and financial stewardship, ensuring seamless operations for program delivery.
Key Responsibilities Include:
Vendor Management & Procurement: Establishing and maintaining a database of vendors, ensuring minimum vendor availability (at least 3 for key services), managing registration, empanelment, and processing procurement of goods in line with organizational policy.
Logistics & Administration: Expertly arranging local travel and accommodations, coordinating logistics for events, training, and workshops, and ensuring the office and school kits are maintained and delivered on schedule for timely implementation.
Financial Coordination: Ensuring all vendor bills are received punctually, assisting with reporting, and keeping the state office asset inventory in sync with the central Fixed Asset register.
Relationship Building: Developing strong, sustainable relationships with third parties (cleaning, maintenance, hotels/training centers) and fostering coordination with all vendors and state/district staff.
Who Quest is Looking For
The ideal candidate is a graduate with 2–5 years of work experience, preferably within the NGO sector.
Required Skills & Traits:
Strong command of English (written and verbal). Knowledge of Hindi or other regional languages is a bonus.
Expert user of Microsoft Office Suite.
Proven office admin management and strong organizational skills.
Ability to thrive in a fast-paced, detail-focused environment.
